Acceptable Use Policy

1. Purpose

This Acceptable Use Policy (“AUP”) establishes rules for using the ChamberRM v3 platform. This AUP is incorporated into our Terms of Service. All users must comply.

2. Prohibited Content

You may not use the Service to create, host, promote, or distribute events involving:

  • Illegal activities under Canadian federal or provincial law
  • Hate speech, discrimination, or harassment based on protected characteristics
  • Violence, terrorism, or self-harm promotion
  • Deceptive practices, phishing, or credential harvesting
  • Copyright, trademark, or intellectual property infringement
  • Fraudulent events designed to collect personal information

3. Prohibited Conduct

Platform Abuse

  • Unauthorized access to the Service, other accounts, or our systems
  • Interfering with or disrupting the Service
  • Automated tools (bots, scrapers) without written permission
  • Circumventing usage limits, rate limits, or access controls
  • Creating multiple accounts to abuse free trials or plan limits
  • Reverse engineering, decompiling, or disassembling the Service

Email Abuse

  • Sending unsolicited bulk email or spam
  • Sending emails without CASL-compliant consent
  • Misleading subject lines or deceptive content
  • Harvesting email addresses from the Service
  • Exceeding plan-specific email sending limits

Registration & Ticketing Abuse

  • Creating fake registrations or inflating attendance
  • Using bots for bulk registration
  • Ticket scalping or unauthorized resale
  • Manipulating pricing or promotional code systems

4. Resource Usage & Fair Use

Each plan includes storage, API, and event volume allocations. While we accommodate legitimate high-volume users, we reserve the right to:

  • Contact you about usage patterns exceeding normal levels
  • Require a plan upgrade for consistently excessive usage
  • Apply overage charges for sustained excessive usage (with 30 days' notice)
  • Throttle or restrict features to protect platform stability
  • Suspend accounts that refuse to address persistent excessive usage

Do not use the Service as a general-purpose file storage platform. API integrations must implement reasonable caching and retry logic.

5. Email Sending Standards

Bounce Rate Threshold: 5%

Accounts exceeding this will have email sending suspended pending list cleanup.

Complaint Rate Threshold: 0.1%

Accounts exceeding this will have email sending reviewed and may be suspended.

All emails must include accurate sender identification, a valid physical mailing address, a functioning unsubscribe link, and must only be sent to consented recipients per CASL.

6. Monitoring & Enforcement

We monitor for violations through automated systems, email delivery monitoring, content review, and API usage tracking. Enforcement actions escalate from warnings to feature restrictions, content removal, account suspension, and ultimately account termination or legal action.

Due Process: Except for severe violations (illegal content, security threats), we provide written notice and 48 hours to respond before taking enforcement action. You may appeal by contacting legal@octopuscreative.ca.

7. Security Responsibilities

You are responsible for maintaining strong passwords, enabling available security features, and promptly reporting unauthorized access. If you discover a security vulnerability, please report it responsibly to security@octopuscreative.ca.

8. Reporting Violations

Report violations to abuse@octopuscreative.ca. All reports are investigated promptly.
